Terms of service
The agreement between Doctriever and the accounting firms that subscribe to our service.

1. Who these terms are between
These terms form an agreement between you, on behalf of the accounting firm that subscribes (“Customer”, “you”), and [Legal entity name], registered at [Registered address] (“Doctriever”, “we”).
By signing up for an account, completing a magic-link sign-in, or otherwise using the service, you agree to these terms. If you are using Doctriever on behalf of a firm, you represent that you have authority to bind that firm.
2. What the service does
Doctriever is a software service that helps accounting firms reconcile bank statements with supporting documents. It receives statements and documents, extracts structured fields with AI assistance, flags transactions that lack supporting documents, generates reminder drafts, and produces month-end export packages (ZIP, Excel, CSV).
Doctriever assists accountants. It does not replace professional judgment. We do not provide tax, accounting, legal, or financial advice. Filings, postings, and approvals remain the accountant's responsibility.
3. Your account
- You are responsible for keeping your sign-in credentials and magic links secure, and for any activity that happens under your account.
- You will tell us promptly if you suspect unauthorised access by emailing hello@doctriever.com.
- Each firm is one tenant. We will not knowingly provision multiple tenants for the same legal entity to circumvent plan limits.
4. Trial and pilot
We may offer a free trial period (currently 14 days) and a separate concierge pilot programme (currently free, in exchange for feedback). The terms applicable at the time you start are the ones that govern that trial or pilot. Specific pilot programme details, including duration and deliverables, will be confirmed in writing before the pilot begins.
5. Plans, pricing, and billing
- Prices are listed on the pricing page and are exclusive of any applicable taxes.
- Subscriptions renew automatically at the end of each billing period unless cancelled.
- Payments are processed by [Payment processor — e.g. Stripe]. Card data is handled by the processor; we do not store full card numbers.
- If you exceed the client cap on your plan, additional clients are billed at the published overage rate.
- We may change pricing with at least 30 days' notice before your next renewal. Continued use after the change takes effect counts as acceptance.
6. Acceptable use
You agree not to:
- Use Doctriever for anything illegal, fraudulent, or harmful, or to process documents you don't have the right to process.
- Upload content containing malware, exploits, or infringing material.
- Reverse-engineer, scrape at scale, or attempt to extract source code or trade secrets from the service.
- Attempt to gain unauthorised access to other tenants, our systems, or our subprocessors' systems.
- Resell or sublicense the service without our written agreement.
7. Your data and our role
You retain ownership of all data you upload, forward, or generate through Doctriever (“Customer Data”). You grant us a limited licence to process Customer Data solely to provide and improve the service in line with our Privacy Policy and any data processing agreement we sign with you.
We act as a data processor for Customer Data and as a data controller for the limited account information needed to run your subscription. See the Privacy Policy for details.
8. AI-assisted features
Doctriever uses third-party AI models to extract fields from documents and draft reminder text. These outputs are suggestions, shown with confidence scores. The accountant reviews and approves all outputs before they are shared, sent, or filed. We do not use Customer Data to train third-party models.
9. Service availability
We aim for high availability but do not currently offer a contractual uptime SLA. Planned maintenance is announced in advance where possible. Material outages are reported to firm primary contacts.
10. Intellectual property
Doctriever, the trademark, the software, the design, and the documentation are owned by us or our licensors. You receive only the rights expressly granted in these terms — no implied licences. Feedback you send us is not confidential, and we may use it freely to improve the service.
11. Termination
- You can cancel any time from your account or by emailing hello@doctriever.com. Cancellation takes effect at the end of your current billing period.
- We may suspend or terminate the service if you breach these terms materially, fail to pay, or use the service in a way that creates legal or security risk for us or other customers. Where reasonable, we will give you a chance to cure first.
- For 90 days after cancellation you can request export of your data and your client documents. After that window, residual data may be deleted in line with our retention schedule.
12. Disclaimers
Except as expressly stated in these terms or in any signed order form, the service is provided “as is” and “as available”. We disclaim all implied warranties to the maximum extent permitted by law — including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
Doctriever does not guarantee that AI-assisted extractions are accurate or complete. The accountant is responsible for review.
13. Limitation of liability
To the maximum extent permitted by law, neither party is liable for indirect, special, incidental, consequential, or punitive damages, lost profits, lost revenue, or loss of data, even if advised of the possibility.
Each party's total aggregate liability under these terms is limited to the fees you paid us in the 12 months immediately before the event giving rise to the claim, or [€100 / $100 floor], whichever is greater.
Nothing in these terms limits liability for fraud, gross negligence, or anything else that cannot be limited under applicable law.
14. Indemnity
You will indemnify us against third-party claims arising from your use of the service in violation of these terms or applicable law, or from Customer Data you uploaded that you didn't have the right to upload. We will indemnify you against third-party claims that the service, as provided by us, infringes that third party's intellectual property rights, subject to standard procedural conditions.
15. Confidentiality
Each party agrees to keep the other's non-public information confidential and to use it only as needed to perform under these terms. Customer Data is treated as your confidential information.
16. Changes to these terms
We may update these terms from time to time. For material changes, we will notify the primary contact by email at least 30 days before the change takes effect. Continued use after the effective date counts as acceptance.
17. Governing law and venue
These terms are governed by the laws of [Governing law — e.g. Slovakia / Ireland / Delaware]. Disputes will be resolved in the courts of [Venue], unless mandatory law of your country of residence provides otherwise.
